AI automation for med spas

AI automation for med spas: the consultation that doesn't go cold, the aftercare check-in that actually gets sent and the rebooking nudge that arrives on time.

AI automation for med spas works best on one idea: a client’s journey is longer than their appointment. A treatment lasts an hour. The consultation before it, the aftercare behind it and the reason to return after it can stretch across months, and most of that stretch is silence.

We build small AI tools and internal tools that fill the silence with the right message, written for your team to approve.

Three gaps, three tools

The consultation that goes cold

Someone asks about a treatment, books a consultation and then thinks about it. Without a follow-up, they drift. A tool drafts a note the same day that answers the questions they raised, in your voice, and suggests the next free slot. Your coordinator personalizes it and sends.

The aftercare nobody sent

Aftercare is a promise. When the front desk is busy it slips. A tool queues the approved instructions for each treatment type to go out at the right moments, and routes any reply with a concern straight to a clinician.

Timeline after a treatment with approved aftercare messages at set moments and a branch sending any concerning reply to a clinician
The messages are written by your clinical lead once. The tool only decides when each is due.

The overdue regular

Many treatments are repeated on a schedule your providers know. A tool lists clients who are due or past due, and drafts a short, warm note referring to their last visit. It never recommends a treatment. It reminds a person that they were in touch.

Ring of five stages in a client's relationship with a med spa: consult, treat, aftercare, return and review, with the front desk owning each handoff
Most spas run the treat stage well. The ring shows the four others, where a quiet system loses people.

Packages and memberships

Unused sessions and expiring packages create both goodwill and complaints. A tool watches the balances, lists what’s about to lapse and drafts a reminder so the client can book before it does. The owner decides what flexibility to offer.

Questions about client information

HIPAA applies to covered entities: health plans, clearinghouses and health care providers that transmit health information electronically in connection with certain transactions, as 45 CFR 160.103 defines them. Whether a particular med spa is one is a fact-specific question for your counsel, and some practices that aren’t covered still face other privacy rules and client expectations. We don’t say any tool is compliant. We design so that:

  • tasks use the least information they can,
  • photos and treatment notes stay out of tools that don’t need them,
  • every message waits for a person before it is sent,
  • and you can see exactly what each tool read.

The software around a spa

Category What spas commonly run What a tool adds
Booking and POS Appointments, payments, packages Overdue and expiring lists
Charting and consent forms Treatment records, signatures Left alone; we track only completion
Messaging Texts and email to clients Drafts in your tone
Reviews and social Reputation and promotion Review requests after good visits
Inventory Products and expiry dates Low-stock and expiry lists

A Thursday at the front desk

Five consultation follow-ups are drafted overnight, one aftercare reply mentions mild swelling and has already been flagged for the nurse, and three packages are about to lapse. The coordinator spends twenty minutes on all of it, and the day’s phone calls are for people, not paperwork.

What we need from you

Your aftercare instructions, a typical package structure, the booking system you use and the point where a consultation usually goes quiet. We return a plan and a fixed quote after the free IT check. A real person replies within 1 business hour, Monday to Friday, 9am to 5pm Pacific.

A client who feels remembered comes back. A tool can do the remembering, as long as a person does the caring.

Common questions

Owners and patient coordinators ask.

Can a tool answer clinical questions after a treatment?

No. A tool can send your approved aftercare instructions on schedule and route any question to the right clinician. Anything medical goes to a person.

Are before-and-after photos safe to use with AI?

We treat photos as the most sensitive thing in the business. Most useful automation, such as reminders and rebooking, needs no photos at all, so we keep them out of any tool that doesn't absolutely need them.

Does HIPAA apply to us?

It depends on whether your practice is a covered entity, and your counsel should answer that. We explain what the rule says and design around client privacy whichever way it falls.
