Key takeaways
- Sharing Zaps, folders and app connections needs the Team plan. Free and Professional are single-seat plans.
- Only the account owner, Super Admins and Admins can invite people, and invitees must join with the exact email that got the invitation.
- A Zap that uses a private connected account can be edited only by the person who connected it, so share connections for team Zaps.
- Start with one trigger and one action, test it, publish it, then check Zap History.
By the end of this walkthrough your team will share one Zapier account, with roles set and app connections ready. You will also have three simple Zaps to copy. This guide covers account setup only. For one worked example with AI, see Draft Email Replies with Zapier and AI.
Before you start
Pick one person to own the account. Use a role-based work email if you can, so the account does not depend on one employee. Have a list of the apps you want to connect and the email addresses of your teammates.
Zapier’s pricing page shows that the Free and Professional plans have one seat. The Team plan adds a shared workspace, shared app connections and folder permissions.
| Plan | What it adds for a team | Price as listed |
|---|---|---|
| Free | One seat and 100 tasks a month | $0 |
| Professional | One seat and more tasks | From $19.99 a month billed yearly |
| Team | 25 seats, shared workspace, shared app connections, folder permissions | From $69 a month billed yearly |
| Enterprise | Unlimited users, SCIM and extra admin controls | Custom |
Create the account and workspace
Zapier’s guide to creating a Team account does not list upgrade clicks. It points you to the plans and pricing page, so start there.
- Sign in to Zapier with the owner’s work email.
- Open the pricing page and choose the Team plan.
- Follow the checkout steps shown on screen.
- Hover over the left sidebar and look for Create a Zap to confirm the account is ready.
Invite your team
These steps come from Zapier’s member invitation article.
- Go to the Members page in your Zapier settings.
- Click Add Members in the upper right.
- Enter the email addresses in the Email(s) field. You can paste up to 200, separated by commas or new lines.
- Under Member Role, choose Admin or Member. Super Admin is Enterprise only.
- Send the invitations.
Each invitee must join with the exact address that received the invite. An alias will not work. To change a role later, click the menu icon next to the person, choose Update role, pick a role and click Update.
Zapier’s roles article names four roles. The Owner has the highest permissions and there is only one. Admins handle account administration such as app access. Members have no administrative privileges. Zapier recommends at least one Admin besides the owner.
Set the admin and data settings
Check these before the team starts building.
- Two-factor authentication: Zapier says 2FA is available on every plan. Ask each person to turn it on.
- App access: Admins, Super Admins and the owner can manage access to apps and delete other members’ private app connections.
- Folders: All roles can create folders and use folders shared with them. Only the owner and Super Admins can open folders they neither own nor have been given.
- Single sign-on: SAML SSO appears on the Team plan in the pricing table. Zapier’s security page lists SSO as an Enterprise feature, so confirm with Zapier before you plan around it.
On data, Zapier says it does not train AI models on data that passes through your workflows on any plan. It says it may learn from how workflows are built, and non-Enterprise plans can opt out of that through a form on its security page.
Connect your other apps
Each app you add is a connection. Zapier’s roles article says steps using a private connection can be edited only by the person who made it. Other people with access can only view that step and the Zap history. Steps that use shared connections can be edited by members who have access to the Zap. For team Zaps, share the connection.
Zapier’s integration pages list these names for common office apps:
- Gmail: triggers such as New Email, and actions such as Create Draft Reply and Send Email.
- Google Sheets: a New Spreadsheet Row trigger and a Create Spreadsheet Row action.
- Slack: actions such as Send Channel Message and Send Direct Message.
Tasks to try first
Zapier’s quick start guide says to click Create a Zap, set the trigger, then add actions. Multiple actions need a trial or a paid plan. If you leave the editor early, Zapier saves a draft.

After you publish a Zap, open Zap History. Zapier describes it as a log of Zap activity, including the data going into and out of each step.
