How to Set Up tl;dv for Your Team

Set up tl;dv for a small team: choose Pro or Business, create a team, add members, set team defaults and auto-record rules, and try three recipes.

By Andy Kang · Published · Updated ·Checked against official sources

Key takeaways

  • tl;dv creates a shared Organization for your email domain, but teams need the Pro or Business plan.
  • Teammates must sign up first and share your email domain before you add them to a team plan.
  • Admin controls set team defaults that override the settings of non-admin members.
  • The host must admit the tl;dv bot, or the meeting will not be recorded.

By the end of this guide your team will have a tl;dv team on a paid plan with members added and admin defaults set. You will also have chosen which meetings tl;dv records. For a wider view of the topic, read how to record and summarize meetings with AI.

Before you start

Pick the person who will pay and manage the team. According to tl;dv’s help center, the first person from your domain who creates an account creates a shared Organization. Anyone from the domain can join it. The first person to subscribe to Pro or Business can create teams under it and becomes the Billing Group Admin.

Have your teammates sign up with their work emails first. They must share your email domain. The pricing page lists prices per seat (US visitors see US dollars).

Plan What it adds for a team Price as listed
Free Recording for individuals, no teams $0
Pro Teams, admin controls, automatic AI summaries $18 per seat per month billed annually, or $29 billed monthly
Business Everything in Pro plus multiple teams with their own controls $29 per seat per month billed annually, or $39 billed monthly

The plan notes below come from tl;dv’s help center. Check the pricing page for current prices and what each plan includes.

Create the account and workspace

  1. Sign up for tl;dv. If you use Google, tl;dv connects to Google Calendar. If you use Microsoft, it connects to Outlook.
  2. Install the tl;dv Chrome extension for manual recording.
  3. Subscribe to Pro or Business.

Per tl;dv’s team article, as soon as you sign up for Pro you are the admin of a team of one. If you manage Chrome policies from the Google Admin console, you can install the extension for your whole company. tl;dv links to a Google guide for that.

Invite your team

  1. Ask each teammate to sign up for tl;dv with their work email. If they have not, invite them from the menu on the left.
  2. Open the Members page in your settings.
  3. Click Add to team plan next to each person you want to add.

Added people get the Pro features at once. Each person you add results in an additional charge unless you have unassigned seats. Teammates can also join as free users through the Invite friends button, but Free users cannot be on a team.

To change a role, click the three dots next to a name. The roles are Team Members, Team Admins and Billing Group Admins. Team Admins can add and remove members and override a member’s account preferences. To remove someone, choose Remove from team plan.

Set the admin and data settings

Open the admin controls page to set defaults for your team. tl;dv says these defaults override the individual settings of non-admins. They apply from now on and are not retroactive. Admins can still set their own settings or change the team defaults.

Review these items.

  • Auto-record. Choose All meetings, Internal meetings or External meetings. Internal means everyone shares your email domain.
  • Sharing settings. To make recordings visible to teammates, adapt the sharing settings under Preferences.
  • Multiple teams. On Business, create separate teams so the right people see the right videos.

tl;dv’s help pages do not say whether meeting data is used for AI training, so read the Trust Center and Privacy pages linked in the help center footer before staff record client calls.

Connect your other apps

tl;dv connects to your calendar when you log in with Google or Microsoft. The auto-record setting also applies to Zoom and Microsoft Teams meetings in that calendar. The help center has a team workflows and integrations article that covers connected tools. Follow it for your CRM or chat app for the current steps.

Tasks to try first

These are settings recipes. Use the auto-record preference for the first two.

Record only outside meetings

Use this for client and sales calls. External means at least one participant has a different email domain.

1. Open your tl;dv preferences and find the auto-recording setting
2. Auto-record: External meetings

Record only internal meetings

Use this for standups and planning. Internal means every participant shares your domain.

1. Open your tl;dv preferences and find the auto-recording setting
2. Auto-record: Internal meetings

Record manually and highlight moments

Use this while you test with a small group. The pins are timestamped and appear with the recording.

1. Install the tl;dv Chrome extension
2. In Google Meet, click the tl;dv button to invite the bot (or tl;dv homepage > Record now, then paste the meeting URL)
3. Host admits the bot (Admit and Record in the extension)
4. During the call, click the pin icon to highlight a moment

Common problems

tl;dv’s Google Meet guide says the bot is not recorded unless the host admits it. Admit it with the Admit and Record button in the Chrome extension. Google may label tl;dv as a security risk and show only a Deny button. In that case click the three dots next to the bot and select Admit.

Frequently asked questions

Can free tl;dv users join a team?

No. tl;dv's help center says only users on Pro or Business can create or join teams. Free users must upgrade or be upgraded by someone on a paid plan.

What happens when I remove someone from my tl;dv team plan?

tl;dv says it does not delete their account. It downgrades them, and the paid seat stays on your subscription so you can give it to someone else.

Can I run more than one team under one tl;dv subscription?

Yes, on Business. tl;dv says multi-team management is available only on the Business plan, and each team can have its own admin controls and library.
