How to Set Up QuickBooks Online for Your Team

Set up QuickBooks Online for a small team: pick a plan, add users and your accountant, create bank rules, and check the Intuit AI features.

By Andy Kang · Published · Updated ·Checked against official sources

Key takeaways

  • User limits by plan are 1 on Simple Start, 3 on Essentials, 5 on Plus and 25 on Advanced, plus accountant access.
  • Add users from Settings, then Manage users, and invite your accountant from the Accountants or Accounting Firms tab.
  • Bank rules sort bank transactions automatically, and you can build up to 2,000 of them.
  • Intuit says customer data is not shared with its AI partners to train their models.

By the end of this guide your books will be connected to your bank, your team and accountant will have the right access, and routine transactions will sort themselves with rules. QuickBooks Online is accounting software, so every setting here should be checked with your accountant before you rely on it.

Before you start

Choose one owner for the company file, usually the owner or finance lead. That person becomes the primary admin. Intuit’s setup guide says to gather these records first.

  • Bank and credit card login access
  • Recent statements or beginning balances
  • Customer and vendor lists
  • Product and service list
  • Open invoices or bills
  • Payroll information, if relevant
Plan What it adds for a team Price as listed
Simple Start 1 user, access for 2 accountants $38 per month
Essentials 3 users, access for 2 accountants $85 per month
Plus 5 users, access for 2 accountants $140 per month
Advanced 25 users, 3 accountants, custom user permissions $340 per month

The pricing page also shows a 50% discount for the first 3 months and a 30-day free trial. Check the page for the current price and terms.

Create the account and company

  1. Open the pricing page and choose the plan your accountant recommends.
  2. Create your Intuit account with the owner’s email.
  3. Follow Intuit’s four-part setup guide, which covers the chart of accounts, banking, sales, expenses, and reports and cash flow.

The chart of accounts and opening balances affect your reports, so ask your accountant to review them.

Invite your team

Follow Intuit’s add and manage users article.

  1. Go to Settings and select Manage users.
  2. Select Add user, then enter the name and email address.
  3. Open the Roles dropdown and pick a role. Expand each section to review what it allows.
  4. Choose any Account management settings that apply.
  5. Select Send invitation.

Intuit says some roles, such as Reports or Time tracking only, do not count toward your user limit. To change a role later, go to Manage users, find the person and select Edit in the Action column.

To add your accountant, you must be a primary admin or company admin.

  1. Go to Settings, then Manage users.
  2. Select the Accountants or Accounting Firms tab.
  3. Select Invite firm.
  4. Enter your accountant’s email address or their firm’s user ID.
  5. Select Send the invitation.

Set the admin and data settings

  • Roles. The pricing page lists custom user permissions on Advanced only, and Intuit has a separate article on custom roles. Review each preset role before you assign it.
  • Primary admin. Intuit has a separate article for changing the primary admin, which is useful if the owner changes.
  • AI features. The pricing page groups AI features under the name Intuit Intelligence. It labels several of them Beta or Limited capacity.

On data, Intuit’s AI partnerships post says customer data is not shared with partners to train their models. It says its agreements with OpenAI and Anthropic explicitly prohibit using customer data for model training.

Connect your other apps

Connect your bank and credit cards first, since bank feeds drive most of the daily work. Intuit’s bank connection article is a video, so follow it in the app. Intuit’s pricing page also lists third-party data in KPIs and dashboards on Essentials and above, but gives no setup steps.

Tasks to try first

Create a bank rule for a repeat expense

This helps when the same vendor shows up every month. Ask your accountant which category to use before you save the rule. These steps come from Intuit’s bank rules article.

1. All apps > Accounting > Rules > New rule
2. Name: [Vendor name] monthly
3. Apply this to transactions that are: Money out
4. In: [your bank account]
5. Condition: Description Contains [vendor name]
6. Settings: pick the Transaction type, Category and Payee your accountant gave you
7. Save

Review the For review tab

This helps when you want a daily check that rules worked. Intuit says rules apply to transactions in the For review tab and mark them with a RULE badge.

1. All apps > Accounting > Bank transactions
2. Open the All transactions dropdown
3. Choose Rules, No rules or Auto-post rules to filter
4. Fix anything with no rule and use Create a rule on repeat items

Try auto-post on one simple rule

This helps once a rule has worked correctly for a while. Intuit suggests starting with simple, consistent transactions like rent or gas.

1. Open the rule on the Rules page
2. Turn on Auto-post under Automatically confirm transactions this rule applies to
3. Save
4. Ask your accountant to check the first month of auto-posted entries

Common problems

Intuit’s bank rules article says a rule may not apply if you used Bank text when you meant Description, or the reverse. Bank text is exactly what the bank sends. Description is a simplified version of it.

About the author

Andy Kang, AI Partner Team. Andy Kang writes the AI directory for AI Partner Team, which sets up and builds AI tools for small businesses alongside managed IT. Each page is written from the vendor’s own pricing, help and trust pages, and shows the day those pages were checked.

  • Facts come from the vendor’s own website and help docs, linked on every page.
  • Each page shows the date we last read those sources.
  • We do not score or rank tools. We say who each one suits and who it does not.
  • If a vendor does not publish a price, we say so instead of guessing.
