How to Set Up Descript for Your Team

Set up a Descript Drive for a small team: pick a plan, invite Editors and Viewers, check data sharing, connect Zoom and run three first projects.

Key takeaways

  • Descript teams work in a shared Drive, and each member joins as an Editor (paid seat) or a Viewer (free seat).
  • Editor seat limits are 3 on Creator and 5 on Business, so plan before you invite.
  • Invites start in Settings, on the Members tab.
  • Descript says its production AI models use no Descript user data, and research models use only data from users who opted in.

By the end of this guide your team will share one Descript Drive, with the right people able to edit and everyone else able to comment. Descript edits video and audio by editing a transcript, so the first win is turning a recording into a clean cut together.

Before you start

Choose one person to own the Drive. The Drive owner created it and has extra administrative rights, and there can be only one. Decide who needs to edit and who only needs to review, because Editors take paid seats and Viewers are free.

Plan What it adds for a team Price as listed
Free Text-based editing, limited AI $0
Hobbyist 1 person, 10 media hours and 400 AI credits per month $24 per person per month billed monthly, lower billed annually
Creator Team of 3, 30 media hours and 800 AI credits per month $35 per person per month billed monthly, lower billed annually
Business Team of 5, 40 media hours, 1500 AI credits and Brand Studio $65 per person per month billed monthly, lower billed annually
Enterprise Admin role, workspaces and custom AI controls Talk to sales

Prices come from the Descript pricing page and may change. The page defines media hours as uploaded or recorded media, and AI credits as use of AI features.

Create the account and Drive

  1. Sign up on the pricing page and choose a plan.
  2. Sign in with the account that should own the Drive.
  3. Open the drive view. Click New project in the top-right corner and choose a project type.

Descript’s project guide says that, outside Enterprise, a new project saves to your personal private workspace. You can also start from inside an open project through File, then New, then Project.

Invite your team

Follow Descript’s member guide. Make sure you are signed in to the correct Drive first.

  1. Press Command or Control and comma to open settings, then go to the Members tab.
  2. Enter your collaborator’s email in the Invite by email field.
  3. Choose Viewer or Editor.
  4. Click Send invite.

The invitee must accept the email invite before reaching your Drive. If you hit the Editor seat limit, invite the person as a Viewer or upgrade. Someone who accepts an Editor invite after the limit is reached joins as a Viewer. When you add an Editor mid-cycle, Descript prorates the charge.

Set the admin and data settings

  • Manual approval. By default any Editor can invite others. A Drive owner or admin can go to Settings, then Members, and turn on Manually approve new editor invites. Pending invites then show in the Members tab.
  • Admin role. Descript says the admin role is available only on Enterprise plans.
  • Roles. Viewers can view and comment. Editors can create, edit, move and delete projects, record or import media, and use AI features.
  • Data sharing. Under App Settings, then Profile, the Share data with Descript toggle can be turned off.

On AI and data, Descript’s privacy page says its production AI models use no Descript user data. It says internal research models use only data from users who opted in. It also says enterprise drives cannot toggle data sharing and that it is disabled by default there. The pricing page lists opt-out of training and custom retention as Enterprise controls.

Connect your other apps

Descript supports several imports from the import guide, including Zoom and Google Drive. Google Drive imports work in Descript for Web only.

To connect Zoom:

  1. Click your profile picture or initials in the top right corner.
  2. Select Settings.
  3. Open the Connected apps tab.
  4. Click Connect with Zoom and follow the prompts.

Descript’s Zoom guide says you can import recordings from calls in the past 12 months, and that Descript does not download recordings automatically. If your IT team restricts Zoom apps, they may need to allow Descript and *.zoom.us.

Tasks to try first

Import a Zoom recording and edit it as a document

This helps when you have a recorded meeting or webinar to turn into a short clip.

1. Settings > Connected apps > Connect with Zoom
2. Import a recording into a new project
3. Add it to the script to transcribe it
4. Edit the words in the transcript to cut the video

Share a draft with a Viewer

This helps when an owner needs to approve a video without editing it.

1. Settings > Members > Invite by email
2. Choose Viewer > Send invite
3. Ask the Viewer to open the project and add comments
4. Editors apply the comments

Tighten the invite rule

This helps when the team grows and you want control of seats.

1. Settings > Members
2. Toggle on Manually approve new editor invites
3. Check the Members tab for pending invitations each week

Common problems

  • You cannot invite another Editor. The Drive has reached its seat limit. Invite the person as a Viewer or upgrade the plan.
  • A Zoom recording does not appear. Descript lists only calls from the past 12 months, so download older files from Zoom and upload them yourself.

Frequently asked questions

How many people can edit in one Descript Drive?

It depends on the plan. Descript's member guide lists 1 Editor on Hobbyist, 3 on Creator and 5 on Business, and extra people can join as free Viewers.

Can I stop Descript editors from inviting more people?

Yes. A Drive owner or admin can turn on Manually approve new editor invites under Settings, then Members. Descript says by default any Editor can invite others.

What can a Descript Viewer do?

A Viewer can view and comment on projects in the Drive. Descript says Viewers cannot edit content or use features that consume media minutes or AI credits.
