How to Set Up Copy.ai for Your Team

Set up Copy.ai for a small team: choose a plan, invite members to the workspace, use Teamspaces and roles, check data settings, and try three tasks.

By Andy Kang · Published · Updated ·Checked against official sources

Key takeaways

  • The Chat plan lists 5 seats, which is the starting point for a small team. Higher plans start at $1,000 per month.
  • Invite people from Invite Team Members, bottom left, then choose a role and click Invite To Workspace.
  • Teamspaces are like a workspace within a workspace, so you can give each team its own shared projects.
  • Copy.ai says on its security page that it does not train on your data.

By the end of this guide your team will have one Copy.ai workspace with an owner, invited members, Teamspaces for shared work and a few tasks to try. Copy.ai’s help center now lives on a Fullcast support site, so the links below point there.

Before you start

Decide who will be the Owner. Copy.ai says the Owner manages all aspects of the workspace, including billing, and an Admin cannot manage billing. Count how many people need access, because the plans differ mostly by seats and workflow credits.

Plan What it adds for a team Price as listed
Chat 5 seats, unlimited chat projects, access to OpenAI, Anthropic and Gemini models $29 per month billed monthly, or $24 per month billed yearly
Growth 75 seats, 20K workflow credits per month $1,000 per month
Expansion 150 seats, 45K workflow credits per month $2,000 per month
Scale 200 seats, 75K workflow credits per month $3,000 per month
Enterprise API access, bulk workflow runs, 20+ tech integrations, account and support team Custom, request a demo

These figures come from the Copy.ai pricing page. The page shows a Try for free button but does not state how long the trial lasts. Most small teams of five or fewer will start on Chat.

Create the account and workspace

The pricing page does not describe sign-up steps, so follow the on-screen prompts.

  1. Open the pricing page and choose a plan or Try for free.
  2. Sign up with the Owner’s work email.
  3. Confirm the workspace opens. Self-serve users can upgrade at any time, prorated for the current month, or downgrade with a credit on the next bill, according to the pricing page.

Invite your team

Copy.ai’s invite article gives the steps.

  1. Click Invite Team Members in the bottom left corner of the screen, or open the workspace settings page.
  2. Enter the teammate’s email address.
  3. Choose their role.
  4. Click Invite To Workspace.

There are workspace roles and Teamspace roles. The roles article lists the workspace roles as Owner, Admin and User. A User can create Teamspaces and see the ones available to them. Other permissions come from the person’s role inside each Teamspace, which is Admin, Editor or Collaborator.

To add someone to a Teamspace, click the Teamspace switcher, click the three dot menu next to the Teamspace, click Add Members, type a name or email, choose a role and click Add. To change or remove a member, open Teamspace Settings and use the Members tab, as the Teamspace article explains.

Set the admin and data settings

Use Teamspaces to control who can change what. According to the roles article, an Editor can create Brand Voice and Infobase entries and duplicate workflows but cannot edit existing workflows. A Collaborator can create projects and use everything in the Teamspace. Give Editor to the people who maintain your brand material and Collaborator to everyone else.

On data, the Copy.ai security page says it does not train on your data, does not share customer prompts with other customers and does not sell user data. It says the SOC 2 report is available through its Trust Center. The page shows an SSO logo but does not describe SSO or admin controls, so ask Copy.ai if you need them. Pair the tool with a written rule on what staff can paste in, as covered in our AI use policy guide.

Connect your other apps

Copy.ai’s home page says it offers more than 2,000 integrations, and the pricing page lists 20+ tech integrations on Enterprise. Copy.ai’s public pages do not name which apps are included on the Chat plan, so check the integration list inside your workspace before you plan around one. If you want to connect your own email tool to a workflow, our guide on drafting email replies with Zapier and AI shows a general pattern.

Tasks to try first

Draft a first-touch sales email

Use this when you have a lead and a few facts about their business.

Write a first email to [name], [role] at [company]. They run [short description]. Our offer is [offer]. Keep it under 110 words, mention one specific detail about their business, and end with a single question. Do not claim results.

Write a blog outline

Use this when you know the topic but not the structure.

Create an outline for a blog post titled "[title]" for [audience]. Give an H2 for each section and two bullet points of what it covers. Suggest a meta description under 155 characters.

Rewrite a product description for a different customer

Use this when one description has to serve two groups.

Rewrite this product description for [customer type]. Keep all facts the same. Change the order so their top concern comes first.

[paste description]

Common problems

If a teammate cannot edit a workflow, check their Teamspace role. Copy.ai says Editors cannot edit existing workflows, and only Teamspace Admins can edit everything. If you cannot find your old shared projects, Copy.ai’s help center says they now appear in the General Teamspace.
