How to Set Up Claude for Your Team

Set up a Claude Team plan workspace: create the organization, invite staff, check admin and privacy settings, connect apps, and try three first tasks.

By Andy Kang · Published · Updated ·Checked against official sources

Key takeaways

  • A Team plan needs at least two members and a business email address for the person who creates it.
  • Owners add connectors for the organization, then each person signs in to the connector with their own account.
  • Anthropic says it does not train on commercial product inputs or outputs by default, except for feedback you submit.
  • Invitations hold a seat right away and expire after 21 days.

By the end of this guide your team will have a shared Claude Team workspace with members invited, the owner settings checked, and a few work apps connected. You will also have three tasks to try on day one.

Before you start

Pick one owner for the account. This person pays the bill, adds members and decides which apps are connected. Use a business email address, because Anthropic says public domains like gmail.com are not allowed for the account creator.

Have a list of the work email addresses for your team. Every invited person must use one of the organization’s allowed domains. Plan on at least two members, since Anthropic requires that for Team plans.

On the pricing page, the Team plan is built for teams of 2 to 150 and offers two seat types. You can mix them.

Seat type What it adds for a team Price as listed
Standard All Claude features with more usage than Pro $20 per seat per month billed annually, or $25 billed monthly
Premium 5x more usage than a standard seat $100 per seat per month billed annually, or $125 billed monthly

Team is paid by credit card only, according to the same page. Check the current prices there before you buy.

Create the account and workspace

  1. Go to claude.ai/login and enter your work email address.
  2. Follow the onboarding prompts and select the Team plan.
  3. Choose monthly or annual billing during sign-up.

If you already use a Free, Pro, Max or Ultra account, sign in with your work email and go to claude.ai/upgrade instead. The Team plan guide explains that an in-place upgrade cancels the individual subscription and makes public projects private. Read that section before you upgrade a personal account that holds work you want to keep.

Invite your team

Admins and above can add members directly, as described in the member management article.

  1. Go to Organization settings, then Members.
  2. Click Add member.
  3. Enter the person’s email address. It must use an allowed email domain.
  4. Select a seat type and set the member’s role.
  5. Click Add members.

Use Bulk add to paste several emails separated by commas or new lines. The roles are member, Admin, Owner and Primary Owner. Only Owners and Primary Owners can open Organization settings, then Billing.

Invitations expire after 21 days and use a seat immediately. Resend or revoke them from the Pending tab. A shared invite link is turned on by default for new Team organizations. Anyone who joins through it gets the lowest available seat tier, so turn it off if you want to approve each person.

Set the admin and data settings

Check these before you announce the rollout.

  • Allowed email domains. Confirm that only your company domains, and any public domains you chose on purpose, are allowed.
  • Invite link and member invites. Decide whether the invite link stays on. Members can also invite teammates, and by default an admin approves each request.
  • Rate chats. Owners can disable member feedback submission with the Rate chats setting under Organization settings, then Data and Privacy.
  • Export CSV. The Members page can export a list with name, email, role and seat type for your records.

On training, Anthropic’s privacy page says it does not use inputs or outputs from its commercial products for model training by default. The exception is feedback you send, such as a thumbs up or thumbs down. Tell staff about that exception.

Connect your other apps

Only an Owner or Primary Owner can enable connectors, per Anthropic’s connectors article. Each person still signs in to the connector with their own account.

  1. Go to Organization settings, then Connectors.
  2. Click Browse connectors at the bottom of the page.
  3. Select the connector you want.
  4. Click Add to your team.
  5. Tell your team they can now authenticate with it.

The article names Slack, Google Drive, Gmail, Google Calendar and Microsoft 365 among the connectors. Members can request a connector when the Let members request connectors setting is on. You see those requests under Organization settings, then Notifications, on the Requests tab.

Tasks to try first

Summarize a long customer thread

Use this when a client email chain has grown too long to read in full. Paste the thread and send this prompt.

Summarize this email thread in five bullets. List what the customer asked for, what we promised, and any dates. Then list open questions we still need to answer.

Draft a reply in your company voice

Use this when you write the same kind of email every week. Paste two past replies you liked first.

Here are two past replies I wrote. Draft a reply to the message below in the same tone and length. Keep it friendly and plain. Do not promise dates or prices. Mark anything you are unsure about in [brackets].

Turn rough notes into a checklist

Use this when a process lives in someone’s head. Paste messy notes about how you onboard a new client.

Turn these notes into a numbered checklist for a new employee. Group steps by who does them. Add a short "check before you finish" list at the end. Flag any step that seems to be missing.

Frequently asked questions

Can I create a Claude Team workspace with a Gmail address?

No. Anthropic says the person who creates the Team organization must use a business email address. You can add public domains such as gmail.com as allowed domains for the members you invite.

How many people do I need to start a Claude Team plan?

Anthropic says Team plans need at least two members. The plan is not meant for one person, so a solo owner should look at an individual plan instead.

What happens to a Claude Team invitation that nobody accepts?

Anthropic's help center says a pending invitation uses a seat immediately and expires after 21 days. An admin can resend or revoke it from the Pending tab.
